​​Signing Up for EDRS

Important Notice

The eVitals implementation process has been delayed. 
Death user training will commence 60 days prior to go-live. 
Onboarding of facility administrators and users will continue as scheduled.

In April of 2024, the Electronic Death Reporting System (EDRS) will transition from DAVE to eVitals. eVitals is currently live for the reporting of live births. Once the EDRS transition is complete, eVitals will support the electronic registration and records management of both birth and death records for Pennsylvania.

Each organization reporting into eVitals must complete an eVitals Facility Registration form. This task must be completed by new end date TBD. Click the eVitals Sign up icon at the top of the page for instructions and to access the form.  Note: Upon submittal of the form, each facility will be registered for a Keystone ID as required under Commonwealth policy. Officials who complete the form will receive email notification once the facility's Keystone ID has been registered.

Training will be available through TRAIN PA (www.train.org/pa)

  • Training details will be available under Step 3 of eVitals Sign Up. Advance registration will be available and is expected to open in June 2024. Check back for updates.

 


Medical Professionals and Staff at Licensed Healthcare Facilities

EDRS user accounts are available to all medical support staff and medical professionals who are responsible for reporting deaths to the Pennsylvania Department of Health. 

Licensed healthcare facilities that have 10 or more employees with EDRS end-user accounts must designate an EDRS Facility Account Manager(s) to manage your facility's user accounts.  See the EDRS Facility Account Manager section below for more details.

If your facility plans to have less than 10 EDRS end-users or if you need immediate access to report a COVID-19 death, please have your staff member following the steps below to register for an account:

  1. Review the EDRS User Agreement and Confidentiality Policy
  2. Complete the EDRS User Account Request for Medical Staff at Licensed Healthcare Facilities.  Submit the completed form as follows:
  3. Watch your email to receive your login credentials.
  4. Take training

Coroners and Medical Examiners

EDRS user accounts are available to staff of a coroner or medical examiner's office who are responsible for reporting deaths to the Pennsylvania Department of Health. 

Please have your staff member following the steps below to register for an account:

  1. Review the EDRS User Agreement and Confidentiality Policy
  2. Complete the EDRS User Account Request for Coroners and Medical Examiner Offices.  Submit the completed form as follows:
  3. Watch your email to receive your login credentials.
  4. Take training

Funeral Homes

EDRS user accounts are available to all funeral home staff that work for a funeral home licensed in Pennsylvania and who are responsible for reporting deaths to the Pennsylvania Department of Health. 

For funeral homes just beginning to use EDRS, you must designate an EDRS Facility Administrator if you plan to have 10 or more employees with EDRS end-user accounts.  The EDRS Facility Administrator will then manage your facility's user accounts.  See the EDRS Facility Account Manager information below for more details.

If your facility plans to have less than 10 EDRS end-users or if you need immediate access to report a COVID-19 death, please have your staff member following the steps below to register for an account:

EDRS Facility Account Managers

Licensed healthcare facilities and licensed funeral homes in Pennsylvania are designate a EDRS Facility Administrator if your facility has 10 or more staff members that need access to EDRS to report deaths that occur in Pennsylvania.

The designated EDRS Facility Administrator(s) should take the following steps to register for an EDRS Facility Administrator account:

  1. Review the EDRS User Agreement and Confidentiality Policy
  2. Complete the EDRS User Account Request for EDRS Facility Administrators. Submit the completed form as follows:
  3. Watch your email to receive your login credentials.
  4. Take training
    • It is strongly recommended that you attend an upcoming webinar.
    • You may also supplement this training at your own pace by using the Quick Reference Sheets(available in PDF download and in video)

Once you have received your credentials and taken training, you may begin to establish accounts for employees in your facility that are responsible for reporting deaths.  We recommend that you take the steps below when establishing your employees' accounts.

Have the employee do the following:

  1. Review the EDRS User Agreement and Confidentiality Policy
  2. Complete an EDRS Account Request form which should be submitted to you.    
  3. Take training
    • Attend a training event that is you conduct;
    • Attend one of our upcoming webinars;
    • Take training at their own pace by using the Quick Reference Sheets (available in PDF download and in video)

EDRS Facility Administrators are responsible for inactivating accounts as employees separate from your facility.  In addition, EDRS Facility Administrators should audit all user accounts at least annually and inactivate accounts that are no longer used.

If you are a third-party software provider who has implemented a solution to collect death record information in Pennsylvania, please call us at 800-323-9613 to find out how your product can integrate with Pennsylvania's EDRS solution.  Interested parties are required to complete an Application of Intent to Participate in the Reporting of Pennsylvania Death Events.
